Quote to Cash
Lead conversion, opportunity automation, quote approval, sales order creation, payment collection, and fulfillment
Flow
Pipeline Automation
Opportunities are automatically created or linked from Quotes and Sales Orders when needed. Users should not maintain parallel pipeline records manually just to make dashboards work.
The reporting rollup path uses the Quote, Sales Order, Invoice, and Payment context so the Opportunity can represent the real customer value even after the order and payment stages move forward.
Required User Actions
| Stage | User action |
|---|---|
| Lead | Scan for duplicates, log activity, convert through the custom action. |
| Account | Confirm billing/shipping contacts, addresses, payment terms, and AR health. |
| Quote | Use the quote creator for header/context, then use the Line Items editor for products, quantities, price, discounts, warnings, and totals. |
| Approval | Submit through the custom action and wait for approval before order conversion. |
| Sales Order | Use Sales Order actions for invoice, payment link, tracking, fulfillment sync, and ownership. |
| Payment | Use saved methods when available and respect readiness messages. |
| Fulfillment | Let provider sync or supported fulfillment controls write status and tracking back. |
Failure Handling
If a Quote cannot submit, fix the displayed validation issue rather than bypassing approval. If a Sales Order cannot collect payment, review payment readiness and gateway/token state. If fulfillment appears stuck, use 3PL runtime status, provider sync state, tracking records, and fulfillment history before manually changing order status.
